We are currently seeking an Operations Assistant reporting directly to the Operations Director and with full visibility across the agency, you will be the backbone for the management team. Aiding in the maintaining of operational efficiency across the business.

You will also enjoy assisting others and working hard behind the scenes to make things happen. Precise attention to detail and remarkable organisational skills will be second nature to you. You will be well known across the agency for being on top of everything with all the answers at your fingertips.

Role

Your role will involve working with a team that creates a growing portfolio of work for it’s clients, supporting administration for the development team as well as working closely with the Operations Director to support the leadership team. Responsibilities

  • Support the day-to-day operations of our fast-paced growing digital agency.
  • Processing invoices and updating the accounts system.
  • Support the Operations Director in organising and prioritising workload and providing structure and clarity to the development team.
  • Provide administrative support across all Development Projects, this will include tasking up projects.
  • Support the team with administration of the client helpdesk, all related tickets and tasks.
  • Manage day-to-day office needs to make sure that the team is set up for success.
  • Monitor and update time reports on a task by task basis and update the Management team where required.
  • HR support, this will include making sure all documentation and processes are in place and within legal requirements. You will be responsible for the onboarding of all new starters within the business.
  • Oversee Health & Safety within the office ensuring the business is compliant.
  • Office management responsibilities, including dealing with maintenance requests and office supplies.
  • Answering all telephone calls and providing telephone support.
  • Provide administration support to the Senior Management Team as required.
  • Assist with ensuring operational processes are properly documented and that key information is organised, accessible and secure.
  • Help management to overcome challenges, getting your hands dirty to help out when we are short of resources.
  • Arranging the Directors meetings and taking accurate minutes and actions if and when needed.
  • Updating company documentation when needed.

Required Skills

  • Highly organised and goal orientated, you’ll have a strong eye for detail.
  • Outgoing, with strong communication skills and able to interact with different people across the agency, at all levels.
  • Ability to juggle multiple tasks at one time.
  • Strong organisational and time management skills with the ability to support in the management of multiple ongoing projects.
  • Flexibility and willingness to help out in areas that may not specifically fall within the role.
  • You’re hard-working, restless with curiosity and never settle for second best.
  • You will be helpful, resilient and confident with the ability and experience to run a tight ship.

  • Proficient in Mac and PC systems, Google Drive, Word/Excel.
  • High level of confidentiality.
  • Experience of supporting MD/CEO level in a senior administrative capacity.
  • General digital development, media, project and marketing knowledge.
